  STUDENT REFLECTION Weekly Activities:   During the first week of my practicum at the Ghazali Shafie Graduate School of Government (GSGSG), I was warmly welcomed by the team and introduced to the various roles within the VIVA Unit. The orientation session was comprehensive, providing me with an overview of the academic programs offered, the structure of the GSGSG, and the specific functions of the VIVA Unit. I observed the setup for the viva-voce sessions, which included the arrangement of necessary equipment and documentation. Additionally, I spent time familiarizing myself with the UUM handbook, which detailed the Master's and PhD programs, including course structures, fees, and academic procedures. Week 1 (10/10/2024) : Recycling Initiative for Disposal of Old Students’ Thesis

  I am conducting an initiative to dispose of old students’ thesis with the goal of promoting recycling. The process involves carefully separating the paper contents from the plastic covers and ring comb bindings. The paper will be recycled to reduce waste, while the plastic covers and ring combs will also be collected for recycling, ensuring that all materials are processed in an environmentally responsible manner. This initiative helps to minimize waste and support sustainable practices in our institution.

Week 1 (9/10/2024) : Coordinating the Scheduling Process for PhD Proposal Defence

  I was taught by Madam Zaiton to oversee the process of setting a date for a PhD student's Proposal Defence. The first step is to review all the required items listed in the Proposal Defence checklist. Once the student's submitted documents meet the necessary criteria, we proceed by preparing the 'Insertion' form, which should be printed at least four copies—one each for the chairperson, examiners, and supervisor. After printing, stamp the names on all the copies, except for the supervisors. Once this is completed, place the 'Insertion,' the student's proposal, and the required documents in an envelope to be posted or handed over to the chairperson and the examiners. Following that, a WhatsApp group is created for the Proposal Defence. Initially, this group only includes the chairperson and the examiners, so they can choose from three proposed dates suggested by the Viva Unit. Week 1 (8/10/2024) : Familiarization and Proposal Defense Extension Process

                                                                                               On my second day, I studied the UUM handbook to understand the Master's and PhD programs at GSGSG, gaining clarity on the courses, program structures, fees, and academic procedures. Later, Madam Farzana explained how to process Applications for Extension of Proposal Defense. For PhD students, I must verify the colloquium and Proposal Defense dates, along with the supervisor’s approval, while Master's students only require supervisor approval. After confirmation, I stamp the documents as "Received" and pass them to Madam Farzana for further processing until the student is notified of the extension outcome. Week 1 (7/10/2024) : Report Duty and First Day of Practicum at GSGSG, UUM

                                                                   On my first day of practicum, I reported to the office of the Ghazali Shafie Graduate School of Government (GSGSG) at 7:30 AM. I was warmly welcomed by Madam Che Norlaila, who introduced me to the Dean, Prof. Dr. Rusdi Omar, and the Deputy Dean, Assoc. Prof. Dr. Kamarul Azman. The Dean and Deputy Dean are welcoming. After that, we moved on to meet the rest of the staff. Madam Che Norlaila led me to the VIVA Unit, where I would be stationed for the duration of my internship. Upon reaching the unit, I was introduced to Madam Noorhani, the supervisor in charge of the VIVA Unit. I reported for duty to her, and she explain a little bit about GSGSG and VIVA Unit in general.
